On this page you will find important customer information regarding your company vehicle, i.e. what to do when your company car needs service, in case of an accident or when using your fuel card.
We recommend that you print this page and keep it in your glove compartment. Then you will have the information when you need it.
If you have further questions please do not hesitate to contact us.
Fuel card
Please note that the fuel card is associated with your vehicle and the Nordania Leasing agreement.
Every time you fill your vehicle with fuel, you must enter the mileage. This means you cannot lend your fuel card to colleagues. When you get a new vehicle, you also get a new fuel card.
If you fill a rental vehicle with fuel, please enter 999.999.
Nordania uses your information for overall cost control, mileage analyses and maintaining the total financial picture of your company's fleet. Thus, it is very important that you register the mileage every time you fill your vehicle with fuel.
Accident/damage
Whenever there is any road traffic damage to your company vehicle, you must complete a damage report – also when there is no visible damage to your vehicle.
Fill out and print your Damage Report here (pdf)
You need to obtain the following information at the scene of the accident for the damage report
- the insurance company and policy number of the other party
- the name, address and driving licence number of the other party
- the vehicle registration number; the possible foreign vehicle registration mark
- a sketch of the scene of the accident showing the position of both parties
- names and addresses of impartial witnesses.
It is a good idea to
- avoid any admission of guilt at the scene of the accident
- avoid making any agreements that parties will resolve the matter between themselves - even minor damage can cost several thousand kroner
- take a few photographs of the site of the accident. Photographs can be invaluable in decisions as to who is at fault in an accident.
Nordania Assistance
Nordania Assistance provides help for you and your vehicle 24 hours a day.
You receive help if you suddenly cannot continue driving – either due to mechanical failure or road traffic damage to your vehicle. If assistance cannot be provided on site, Nordania Assistance arranges for you to continue driving in a replacement vehicle, and your own vehicle is towed to a garage.
Replacement vehicles are offered on the following conditions
The conditions in case of mechanical failure are
- a replacement vehicle free of charge during the first three days. The vehicle category will be B, C or van
- a possible extension of the rental agreement for your replacement vehicle at a favourable price
- 100 km included per day.
Fuel and insurance are not included.
The conditions in case of road traffic damage are
- a replacement vehicle free of charge during the first three days.* The vehicle category will be A, B or van
- 50 km. included per day.
Fuel and insurance are not included and an extension of the rental agreement for your replacement vehicle is not possible.
* Separate regulations apply in cases of total loss.
The replacement vehicle concept depends on the individual emergency situation.
Mechanical failure means that the vehicle has quit operating due to a sudden defect, that the vehicle cannot start or be driven under its own power, and that it therefore must be towed to a garage.
Road traffic damage means that the vehicle cannot be driven legally under its own power due to deformation, and that towing is necessary.
If you have an accident, Personal Assistance will follow up on your personal situation to ensure that you get through it as well as possible physically, mentally and legally.
Service and maintenance
It is your responsibility to comply the required service checks as recommended in your service book, and to ensure that the service book is stamped every time the vehicle is serviced.
It is also your responsibility to maintain the vehicle and ensure that any damage is repaired at a garage approved by Nordania. Inadequate maintenance and service can result in you being held financially liable.
When you make an appointment for a service check, please inform the garage that you have a Nordania vehicle to ensure that you receive the service Nordania has agreed upon with the garage.
When you take your vehicle to the garage, please bring a completed Vehicle Service Form.

If you need a replacement vehicle while your own vehicle is being serviced, you have to order it from the garage when you make the appointment for the service check.
Please remember to make appointments for service checks and order replacement vehicles well in advance. Nordania cooperates with many garages all over Denmark - find the one closest to you online.
See the list of garages by choosing your car brand ("vælg bilmærke") on the site and contact the garage of your choice.
Garages (Danish only)
Tyres
When changing tyres, you need to submit a completed Vehicle Service Form. All tyre changes must be made by an authorized garage or at a tyre centre approved by Nordania. The dimensions of new tyres must correspond to the standard tyres approved for the vehicle.
It is your responsibility to
- check the tyre pressure
- make sure that there is no damage to the wheels
- make sure that tread depth is at least 1.6 mm
Vehicle return
When your lease has expired, return the vehicle to one of the five collection points yourself or have it picked up at an address convenient for you.
To ensure the most objective evaluation possible, Nordania outsources vehicle return checks and damage registration to business partners who employ a standardized registration system and specially trained assessors.
Please remember to make an appointment to return your vehicle. Do it here and read more details about vehicle return.
